Using Kanban Boards in Microsoft Project – MPUG
Physical Kanban boards are great for teams who are new to the Kanban concept. However, they are not generally ideal for tasks that require more in-depth descriptions and background information. A tangible card can only fit so much content, while digital boards can store a limitless number of notes and comments as your workload increases.
Moreover, physical boards are less flexible when it comes to tracking task timing and meeting specific deadlines. Digital boards offer customizable reporting options for quick progress evaluation and historic performance data. A digital board allows your team to access the task management system anytime and from any device.
In your search for a solution with Kanban functionality, look for one that helps you create content-rich task cards including checklists, labels, and specific due dates. It should also sync with programs you commonly use, allowing you to attach text documents, spreadsheets, and presentations to each card. That way your team will have access to all the necessary data in one place without having to switch apps.
This will help you to quickly gain insights into which tasks are on track—and which are not. Finally, as more companies are shifting to virtual workforces, consider cloud-based task managers that help you to stay on top of your to-do lists from anywhere, on any device. Kanban boards provide a solid base for organizing your tasks in a coherent and structured manner.
Done right, Kanban boards streamline workflow and reduce interruptions that inevitably arise during projects and tasks. Kanban boards can show when a specific task is holding up a project, which makes it easy to change course if necessary. As a result, Kanban has the potential to significantly enhance team task productivity.
If your team keeps failing to finish tasks, now is an ideal time to try the Kanban method. It may take some time to set up your board and develop a process to perfection, but with determination and a view toward continuous improvement, you and your team have more productive days ahead. The system automatically saves the work item with the title you entered.
You can add as many work items you want by using this method. To add details to any work item, select the title. Or, you can directly modify any field that displays. For example, you can reassign a work item by selecting Assigned To. For a description of each field, see Create your backlog, Add details and estimates. You can only assign work to a single user. If you need to assign work to more than one user, add a work item for each user and distinguish the work to be done by title and description.
The Assigned To field only accepts user accounts that have been added to a project or team. To customize the set of fields displayed on the card, see Customize cards.
As work completes in one stage, update the status of an item by dragging it to a downstream stage. Completed or closed work items don’t display on the backlogs and boards once their Changed Date is greater than days about a half a year. You can still list these items using a query. If you want them to show up on a backlog or board, then you can make a minor change to them which resets the clock. Users assigned Stakeholder access aren’t about to use the drag-and-drop feature to update status. You can quickly update a field or reassign ownership directly from the board. If the field you want to update isn’t showing, then customize the card to show it. You can apply filters interactively to focus on a subset of work. For example, you can filter the board to focus on work assigned to at team member for a specific sprint. To start filtering, choose Filter.
To learn more about applying filters, see Interactively filter your backlogs, boards, and plans. All members of a project can view and contribute to your Kanban board. To invite users to contribute, copy the URL of your Kanban board and email it to people you want to invite to your project.
To add users to your project, see Add users to a project. To get the full power of the Kanban board, configure it to map the flow of work and set WIP limits for your team. To configure the Kanban board, you must be added as a team administrator or be a member of the Project Administrators group. As work progresses from idea to completion, you update the items on the board. Each column represents a work stage. Each card represents a backlog item, user story, or bug at that stage of work. User stories and bugs correspond to types of work items. You use work items to share information, assign work to team members, update status, track dependencies, and more.
Boards are automatically created when you create a project or add a team. Each team has access to their own product and portfolio boards as described in About teams and Agile tools. If you have a project, you have a Kanban board. Each project defines a default team and set of boards for that team.
You only need to add a Kanban board when you want to support a new team. When you add a team, you add many team assets. A team admin can configure the assets to support the way the team works. The association depends on the process selected when the project was created, team configurations, and process customizations.

Kanban boards track requirements, are sprint-independent, and provide a cumulative flow chart for monitoring progress. Each sprint is associated with a Taskboard that supports tracking tasks defined for the sprint. You can monitor progress through capacity charts and the sprint burndown chart.

The other is the sprint Taskboard. For an overview of the features supported on each backlog and board, see Backlogs, boards, and plans. Then select the correct team from the team selector menu.
To select another team’s board, open the selector. Then select a different team, or select the Browse all team boards option. Or, you can enter a keyword in the search box to filter the list of team backlogs for the project. Select the star icon to make a team board a favorite. Favorite artifacts favorite icon appear at the top of the team selector list. To switch to the product backlog , select Stories backlog.
To switch to a Taskboard, see Update and monitor your Taskboard. To view your Kanban board, open your project from a web browser. If you don’t see Work , your screen size might be reduced.

More on that later. One of the properties of a Kanban board is that it allows us to do simple resource assignments. We can easily and visually see who is performing or who owns each task or activity. Assigning resources can be performed in the Task Board view. For this project, I want to assign resources for the majority of tasks. Initially the list of resources will be blank, but are added by typing them into the Assign Resource dialog box. They will populate on the Resource Sheet.
Note that once resources are assigned to tasks, the work value will be populated. This value can be viewed on the Task Board sheet. Within the Task Board view, right-click on a task, and choose Assign Resources.
Enter the resource name s into the Assign Resources dialog box, and click on the Assign Repeat this process for each task that you want to assign resources to. When resources are assigned to tasks, a work value is created for each task. If you want to modify this value because you are estimating work and tracking it, this is best done in the Task Sheet view. Alter the Work value as required for each task. This is where filtering and searching comes in. Use the Filter button to only display the tasks belonging to one or more Summary tasks, or associated with one or more resources.
Having applied a filter, I can further refine my query by using the search button. Select one or more Summary tasks, and one or more resources using the dropdown menus from the Filter The tasks displayed on the Task Board view are filtered accordingly. Use the Search button to further refine the displayed task list within the Task Board.
The search is applied to all tasks within the current filtered list, and searches both the task name and the resource name. The search is not case sensitive. To do this, simply drag and drop the tasks from the Not Started column to the relevant columns on the right.
One of the key requirements of any project manager is to provide timely and accurate reports. Microsoft has created two Task Board reports: one that focus on the task status, and another that focuses on the work status. Of course, these are in addition to all of the standard reports that are provided out of the box. You can use these reports as provided or use them as a basis for setting up your own customized reports. Notice that the layout of the report can be easily changed.
Now navigate to the Boards — Work Status This report is more focused towards resources and who is doing what. Both reports can be edited and printed something you cannot do from the Task Board , and of course, are updated as the project is updated.
